Collecting Rent, Credits, and Late Fees

Record a manual payment, apply a credit, and add a late fee to a tenant's ledger.

Tenants can pay online (see Your Dashboard and Making a Payment), but you can also record cash, check, or off-platform payments yourself, apply courtesy credits, and add late fees — all from a tenant's detail panel.

Recording a payment

    Open the tenant and click Payment
    Only shown if they have an active lease.

    Enter the amount and method
    Amount is required (minimum $0.01). Method is Cash, Check, Bank Transfer, or Online. Description defaults to "Rent payment —{name}" but you can change it.

    Save
    It posts immediately to their ledger and updates their balance.
Note
If the tenant has no active lease, RentSystems still lets you record the payment, but warns you it won't be tied to a specific lease.

Applying a credit

Same panel, click Credit instead. Enter an amount, an optional description (e.g. "3-month courtesy rate adjustment"), and an optional effective date.

Adding a late fee

Click Add Late Fee, choose the month (defaults to the current month), enter the amount, and an optional note.

Assessing late fees in bulk

Rather than adding late fees one tenant at a time, the Tenant Ledger tab in Financials has an Assess Late Fees button that checks every tenant's lease against its grace period and applies fees automatically wherever rent is overdue. You can waive an individual late fee later from that same ledger, with an optional reason.
